This guide details UKG Payroll Processing with TLM, covering navigation, pre-processing (employee edits, pre-check reports), time prep (review time off, reapply pay calculations, lock pay period), payroll processing (initiate payroll, sync time, edit pay statements), review (recalculate, close payroll, view reports), and finalization steps. Each EIN/entity requires separate payroll processing.

Navigation
- Go to Team > Payroll > Process Payroll
Please Note: This path may differ based on the company dashboard configuration.
- Click 'Run' to process the next upcoming payroll, or click 'View all Payrolls' to view the list of payrolls
Please Note: Each EIN/entity will have a separate payroll to process. Review the Payroll Name column to choose the correct company’s payroll to complete.
Pre-Processing
1. Employee Related Functions
- Make any edits to employees or new hires (pay rate, address, direct deposit, tax withholdings, etc.)
2. Review Pre-Check Report
Time Prep
- Click 'Go To Time Prep'
Review Pending Time Off Requests
- Select any outstanding requests, and Approve, Reject, or Delete
Please Note: To update the progress bar, mark off tasks as they are completed. Marking tasks as complete does not complete the step; it is only for tracking purposes.
2. Reapply Pay Calculations & Process Records
- Any errors will appear under 'Review Results.'
3. Lock the Pay Period
When finished with Time Prep, go back to Payroll Prep.
Processing
1. Initiate Payroll
Review the pay statement type, confirm that 'All On Assigned Pay Period' is checked, enter any pay statement notes, and click 'Initiate.' This will create all pay statements, bring in all salaries, and any scheduled earnings and deductions.
2. Sync Time
Click the link 'Sync Time'.
Select the time from the relevant pay period profile, then click the 'Sync Time' button. This will pull information from the timesheets into payroll and populate pay statements with hours and pay.
When complete, messages will alert of any failed sync attempts.
3. Edit Pay Statements
If further payroll modifications are required, do not edit the batches. Instead, to edit individual pay statements, click 'View Pay Statements'.
Select the edit pencil next to the EE needing edits.
Select the code, add hours (or amount) and save the pay statement. If the EE has a base rate assigned, adding hours and saving will calculate amounts.
Review
1. Recalculate
Recalculate the payroll to account for any EE changes or updates.
2. Close Payroll
Review any alerts and check totals.
3. View Reports
- Review reports for accuracy before finalizing.
- It is a best practice to review at least the following reports:
- Employees Not Paid
- Payroll Register by PST
- Payroll Recap Funding
Finalize
Please Note: Close the payroll for the most accurate numbers when reviewing reports. Once payroll is finalized, changes cannot be made to the payroll.
Click the Back Arrow to continue processing payroll for the next EIN/entity.
Repeat steps for each remaining EIN/entity.
