The Pay Statement Edit Template is an optional profile you can use to create a payroll data-entry template in the Pay Statement view. If you use only the Batch entry method in payroll, you don't need to use this feature. This feature is available to users who, perhaps due to a high volume of entry overrides, choose to use the Pay Statement Edit page for data entry.

Overview

You can create an unlimited number of Pay Statement Edit Template profiles. You can add blank rows, copy forward earnings and deductions from the last payroll, or to always have a specific earnings type, and make cost centers a default. Create this profile and assign it to employees to customize your view of the pay statement during payroll processing.

Note: If you plan to do all data entry on the Batch page, you can skip this step.

Configuration

To create a new Pay Statement Edit Template

  1. Navigate to: Settings > Profiles/Policies > Pay Statement Edit Template.
  2. Select the New Pay Statement Edit Template Profile button. You will be navigated to the Edit Pay Statement Edit Template Profile page.
  • Name: Enter a name for the Pay Statement Edit Template for identification.
  • Description: Optionally enter a brief explanation of the purpose or type of the Pay Statement Edit Template.
  • Active: To deactivate a Pay Statement Edit Template, uncheck this box.
  • All Types: If this box is checked, the system creates all types of pay statements with the same number of rows or columns on the Pay Statement view. When unchecked, you can create a separate template for each Pay Statement type available to the company.
  • Always Add [Number] Blank Rows: You can define an unlimited number of blank rows to appear on the Pay Statement each time a new pay statement is created for an employee.

To add rows to the Pay Statement Edit Template, select the Add Row button. Row drop-down options include:

  • # Lines: Enter the line number assigned to the Pay Statement Template.
  • Earning/Deduction: Select the Earning/Deduction list that applies to the Pay Statement Edit Template.
  • Cost Center: Enter the cost center that applies to the Pay Statement Edit Template, if applicable.
  • Shift: Enter the Shift that applies to the Pay Statement Edit Template, if applicable.
  • Vendor: Enter the Vendor that applies to the Pay Statement Edit Template, if applicable.

Apply to Employee(s)

This template can be assigned to employees in several ways:

  • Applied to individual employees directly on their Profile Panel (Employee Record)
  • Applied to multiple employees in-mass using: Settings > Mass Edit > Mass Edit Profile 
  • Default Profile for all new hires: based on Global Settings > Company Setup > Defaults tab 
  • Default Profile for all employees assigned to a particular Job on HR Jobs - Defaults
